Overview

The community emails started back in 2014 as a means of informing the community about the activities around the refurbishment of EW Parish Hall, and it proved so popular and useful it broadened its scope and now provides a fast and easy way to provide information about events, activities or important community information to anyone who wishes to receive it.

Since its inception the service has been managed, organised and delivered by a volunteer member of the Worlington Community.

The newsletter distribution is open to anyone.  To subscribe simply send an email to worlingtonpost@ewph.uk with your name and email address.

What is the Worlington Post?

Worlington Post is an email distribution service that offers a fast and easy way to provide information about events, activities or important community information to anyone in our community who wishes to receive it.

How do I register a request to join the distribution list?

 To register:

·       send an email to worlingtonpost@ewph.uk with your name and email address,

Or

·       click on the “Worlington Post” image button on the front page of the website (www.ewph.uk ) and follow the instructions on the next page.

Where are my details saved and who has access to them?

The only details that are required are your name and email address. These details are saved in the distribution list for Worlington Post. The only person who can access them is the Worlington Post Organiser.

How much does it cost to register my interests and receive the regular Posts from Worlington Post?

There is no cost for this service. It is provided by a volunteer community member, using personally owned equipment and software that has no cost attached to it.

Who organises the Worlington Post?

Worlington Post is organised and the service provided by a volunteer who is a member of the Worlington Post Organiser.

How often is the Worlington Post distributed?

There is no set day or time that posts are distributed.

The email for each item is created when the information is received by the Worlington Post Organiser and distributed when the email is ready.

Who receives the Worlington Post?

The Worlington Post is received by all people who are registered on the Worlington Post distribution list.

I don’t live in the East Worlington Parish can I still subscribe?

While it is expected that the majority of people who register live in East Worlington the term community is a broader definition and refer to people who in some way feel affiliated to East Worlington

How do I change my details? (name and email address)

Each registered person can change their own name and email address online or by emailing the Worlington Post Organiser at worlingtonpost@ewph.uk who can change your name and email address and unsubscribe you.

How do I unsubscribe (remove my details) from Worlington Post?

Each registered person can unsubscribe online via the unsubscribe link which can be found at the bottom of each Post or by emailing the Worlington Post Organiser at worlingtonpost@ewph.uk , who can unsubscribe you.

What are the criteria the of information that is circulated through Worllington Post?

The information circulated must be about 

·       events

·       activities

·       services

or

·       important community information

relevant to the people of the East Worlington community.

What type of information will not be circulated?

Worlington Post is not available for the purpose of

·       advertising and selling of items

·       promoting opinion or bias.

·       promoting or sharing any information of a political nature, including lobby groups and campaign groups

or

·        distributing information that violates ethical, professional, or legal standards and uses unacceptable content and language

Who provides the information that is circulated through Worlington Post?

Any information circulated must come from a recognised and validated source, for example:

·       a person formally representing a known community activity group, e.g. hobby, interest group, etc.

·       an event organiser, e.g. village fete, fundraising activity, an interest talk, etc.

·       a community service e.g. Parish Council, Parish Hall, Church, School,  etc.

·       a known individual with information that meets our criteria, including reporting lost or found pet, support for a valid and recognised charity, etc.

Who makes decisions about the Information that is circulated through Worlington Post?

All decisions about whether the information that is requested for circulation meets the criteria and is appropriate for public distribution is made by the Worlington Post Organiser, who’s decision is final.

How much notice is necessary to request information to be circulated?

When any information is sent to the Worlington Post Organiser for circulation ensure that there is sufficient lead in time between your request for circulation and the date / time of any event or activity or information you wish to circulate.

 

Provide the Worlington Post Organiser the time necessary to add it to a post and then circulate it (maximum 3 days usually 1 day) and then the time needed by the recipients to ensure they have the necessary time to add it to diaries and have reasonable amount of time enable them to have the maximum potential of opportunity to respond to the information, including planning to attend an activity or event.  

It is understood that some events and activities may not be able to offer a normal response time due to the circumstances that prevent a longer lead in time and it is important when notifying the Worlington Post Organiser that it is made clear and highlight in the request email that short lead in time is unavoidable. Every effort will be made by the Worlington Post Organiser to circulate the information as soon as possible but meeting short deadlines cannot be guaranteed.

 Some information requires immediate attention, for example a lost or found pet, and while it cannot be guaranteed that immediate distribution will be achieved the Worlington Post Organiser will prioritise such messages.

If I have information I would like to be circulated and it meets the criteria, how do I request it for distribution through Worlington Post?

Send the information you are requesting for circulation by email to Worlington Post Organiser at worlingtonpost@ewph.uk

The information you send must be complete and ready to transfer directly to the Worlington Post  email for distribution, The Worlington Post Organiser does not produce notifications for you. All information provided for circulation must

·       have a title

·       provide clear accurate details about the event, activity, etc

and

·       as appropriate provide relevant venues, dates, times, costs, contact details, booking details, benefactors (e.g. for a charity), etc.

How do I recognise that the emails I receive with legitimate Worlington Post information?

All Worlington Post information will be distributed from the Email address. worlingtonpost@ewph.uk

The Email subject will start with Community Information.

 The Post will always look like this.

How is information circulated?

All information is circulated by email only and each email is distributed to the specific email address provided by each subscriber.

Can I specify the people or group that the information is targeted at?

No all information is distributed to all people subscribed on the Distribution List.

When is information circulated?

Information is circulated as soon as the information is added to the post and the time and day of different posts will vary.

Privacy & Data Protection (GDPR/Data Protection Act):

To meet GDPR requirement all subscribers must give explicit, proactive consent before they are added to the list. If a member of the East Worlington Community emails the Worlington Post Organiser to request inclusion in the distribution list this will be interpreted as providing explicit, proactive consent. If the name and email address are provided by any other person in any way including email, verbal, etc. the person that wishes to be a subscriber, this person will be directly emailed by Worlington Post Organiser to gain a formal confirmation that they do wish to  subscribe.

A subscriber can unsubscribe at any time by either using the unsubscribe facility located  on each post or by emailing the Worlington Post Organiser worlingtonpost@ewph.uk   and request removal from the Distribution List.
